📋 Daily stock check ▼
A small daily list of SKUs to physically recount, so drift gets caught early. Tap Count to enter what you actually find, or Skip for today.
❓ Which button do I press?
- Add stock received - new goods arrived. Customer return - a customer sent it back.
- Add found stock - stock turned up that was not counted. Remove lost stock - lost, broken or stolen.
- Hold for quality check - set aside for a quality check; the button after it puts the stock back on sale once it has passed.
- Correct the count - you counted a bin; type what is really there. Send out - an order leaves without a pick slip. Move between bins - move stock from one bin to another.
- Changing the button clears the product code, bin, quantity and note you typed.

Bin
💾 Upload many stock changes from a spreadsheet
For many rows at once. Download the template, fill it in Excel, then upload it here. The template is a real Excel file — a drop-down list in the Action column, filters, an Instructions sheet and sample rows. You never have to guess what to type. Save it as Spreadsheet before uploading. Action can be: INBOUND, RETURN_IN, FOUND, LOST, REJECTED, QC_HOLD, QC_RELEASE, TRANSFER (needs both Bin and ToBin), or DISPATCH (stock leaving for an order — put the order number in the ToBin column).
In plain words: INBOUND = new stock in. RETURN_IN = customer return. FOUND = extra stock found. LOST = lost or stolen. REJECTED = failed the quality check and taken out. QC_HOLD = set aside for a check. QC_RELEASE = put back after a check. TRANSFER = move between bins. DISPATCH = leaves for an order. Rows marked OK are saved; if some fail, fix only those rows and upload them again.
What do these words mean?
Stock: see how many units of each product are on the shelf and in which bin. Buy-more level = the stock level at which you should buy or make more. Sales speed: A sells fastest, C sells slowest.

🗃 Product Listings
This is every product listing. It has all fields from tab 6 of your Excel file. Only an Admin or Supervisor sees this tab. Changes ask for your own PIN, are saved in the change log. They reach the Excel product sheet when you open Excel or press SYNC NOW there. Cost and price fields are shown only after your PIN.

Active hours are a guess based on scans. They are not shift records. Use them as a rough guide.
Start here. This guide explains how to use the ArtzFolio Super App on your phone: pick orders, record stock, find stock and fix mistakes. New? Read “Daily Workflow” first. Steps marked (laptop) are done on the office computer, not on the phone. Guide last updated 6 Nov 2026.
🔔 Today, Needs your help, Labels and Undo
- Today: shows the jobs waiting for you and what is late. Tap the button on a job card: Accept when you start it, then Complete when it is done. On label and restock cards one Done button does both.
- Needs your help: a list of products the app could not add by itself (a missing or doubtful name, SKU, MRP (price), ASIN or pieces-in-a-pack number), so a person can fix them. It asks for a manager PIN to open. Admins and Supervisors deal with the items; other people see it only if an Admin has allowed it.
- Labels: the Labels button opens Label Studio, where you print product and shelf stickers. The button shows only for people who are allowed to make labels (Admin, Supervisor, Inventory Lead, Production Lead). Printing is for Admins and Supervisors.
- Undo: after some stock changes a bar with Undo can show for a short time. If you see it, tap it to take the change back. When it has gone, use Void in Stock history (Supervisor or Admin PIN).
📋 Daily Workflow
- Amazon orders (laptop): on the laptop run the print step (2_MERGE_AND_STAMP) and print the QR file. Printing an invoice holds its stock until the slip is scanned.
- Pick orders: tap the camera and scan the pick QR code on the slip. Go to the bin and scan the product. The slip ends with a green Picked ✓.
- Other sales (Shopify, Flipkart, Myntra, direct, referral): Move stock → Send out. You must pick a channel. For Amazon channels you must also give the order number. Book one sale in one place only.
- Stock in, returns, found, lost, quality hold or release, moves between bins and counts: Move stock. A bin is needed on every movement, including Correct the count.
- Raw materials: items, vendors, receiving, bills and raw-material stock. Production (Production orders): production jobs and what they use. Customers (Customers): customer list, orders, warranty and quotes. Reports (Dashboard): sales, stock, forecast and production figures. Each opens with a short line saying what it is for. Admin and Supervisor see them; others only when the Admin switches them on. The lower menu shows Today, Stock, Orders, Labels and More (you only see the groups your role may open).
- Finding stock: Find stock. Type a SKU, ASIN, name or size (4x6, 4 by 6). Suggestions appear as you type; tap a result for the full SKU page.
- Stock history: full stock history with filters. A wrong entry is corrected with Void (Supervisor / Admin PIN). Void before the daily Excel stock sync.
- Dashboard: Overview, Sales, Inventory, Forecast and Production. You need the Analytics permission. Tap a row to open its SKU page.
- Product Listings (Admin / Supervisor): find a listing, open it, edit fields, switch ON / OFF, or Quick Add. Percentages are typed as %, for example 18 for 18%. If you leave the app, the open sheet is kept for 3 minutes.
- Every title, SKU, ASIN, order, bin and entry number has a small 📋 button: tap it to copy.
📷 Camera — How to Open & Scan
- Tap the blue camera button inside the app (in the scan bar at the top)
- Tap Allow when Chrome asks for camera permission
- The camera overlay will open — point it at a barcode or QR code
- Supported formats: QR Code, Code 128, Code 39, EAN-13, EAN-8, UPC-A, UPC-E, ITF, DataMatrix, PDF417, Aztec
- Tap the floating ✕ button (top of the camera view) to close the scanner at any time. The phone's Back button now also closes the scanner. It does not leave the app.
- If the camera button shows an error, use a Bluetooth scanner. Or type the code and press Enter.
📱 Opening the App on a Phone
- Open the ArtzFolio Super App link your Admin gave you (it looks like app.artzfolio.com) in Chrome and sign in with your code and PIN.
- Chrome menu → Add to Home screen, so it opens like an app.
- Tap Allow when Chrome asks for the camera.
- If the small badge at the top corner is not the newest version, close the app. Then open it again, or pull down to refresh.
- Camera still blocked? In Chrome, open the menu. Tap Settings, then Site settings, then Camera. Allow it for this site.
📚 Glossary
Held stock (stock set aside for an order) — Units held for an order after its pick slip is printed. No other order can take them. They are free again when the slip is picked or released
Quality check — Hold for quality check sets stock aside while it is checked. Release from quality check puts it back on sale after it passes
Sales speed (A fastest, C slowest) — How fast a product sells: A sells fastest, C sells slowest or not at all yet
Buy-more level — The stock level at which it is time to buy or make more
Waiting for stock — Not enough free stock when the slip printed (or another line of this order could not be covered). The slip says DO NOT PICK
Daily stock check — Find it in Today and in Stock. A short daily list of products to count again on the shelf. It helps catch mistakes early
Buying pattern — In Customers: how often a person buys. Examples are Regulars and Slipping away
PIN — Your own 4-digit secret number. It is asked when you sign in, and again only for steps that cannot be undone. Ask the Admin if you forget it
AF2 — the first letters of every ArtzFolio pick-list QR code (the code on a pick slip). A pick-list QR code starts with AF2|
BIN — Physical shelf location. BIN QR stickers are on the shelf/rack. Bin QR data starts with BIN|
ASIN — The Amazon product ID. At step 3, scan its Code 128 barcode. Use it in place of the SKU barcode
Pieces per set — Pieces in one unit you sell (for example, a Set of 10 has 10 pieces)
🔄 ACTIONS / STOCK / Bulk Upload — Bin-Level Stock
- Move stock — records one stock move at a time. The moves are New Stock In, Returns In, Found, Remove-Lost, Hold for quality check, Release from quality check, Correct the count and Transfer. A Every move needs a bin, even Correct the count — the app auto-fills the SKU's usual bin, but you can always overwrite it (e.g. new stock landing in RECEIVING instead of the SKU's normal shelf).
- Correct the count — a pill on the Move stock, for a physical stock count only (not daily use). This counts ONE BIN at a time. Type the bin you physically counted and the number you found in that bin; the app compares it against what that same bin currently shows and saves only the difference. Any other bin holding the same SKU is listed in the confirmation box and is never changed. A note is recommended but not required. Bin is required here too, like every other action.
Why one bin at a time: an older version compared your one-bin count against the SKU's total across every bin, so counting a SKU that lived in two bins silently pushed one bin negative — and the next action on that bin then failed with a confusing error. If a SKU sits in several bins, count each bin separately. - 💾 Bulk DISPATCH — The bulk-upload spreadsheet now also accepts DISPATCH, for booking out many orders at once. Put the order number in the ToBin column. This is the same action, same wording and same column as the Excel sheet's DISPATCH, so one filled-in sheet works in either place.
- 📤 Send out — A button on the Move stock. Use it when stock leaves for a customer order. Scan the SKU. Confirm the bin it came from. Enter how many. Add the order number and channel.
Why this matters: low-stock alerts, the fast / slow seller tiers (A / B / C) and the forecast are all worked out from what leaves the warehouse. Book every dispatch here, or finish the pick on the Pick orders, so those figures stay right. - 🗃 Product Listings (Admin or Supervisor): find any listing, Open it to see and edit every field from your product spreadsheet (Excel tab 6), switch it ON or OFF for stock, or use Add a product for a product that is not in the system yet (name, product code, Amazon number and type. Bin and starting stock are optional.) Every change needs your own PIN. It is saved in the Audit Log. The Bins section lists every bin and lets you delete an empty one.
What happens if you just scan an unknown code instead: nothing is ever placed in a random bin. On New Stock or Returns an amber “Add a new product” panel opens so you can add it and carry straight on. On Remove/Lost, Hold for quality check, Release from quality check or Correct the count the app says no. Counting or removing something never received is a mistake, not a new product. - Release from quality check — a pill on the Move stock, previously only reachable via the bulk upload. Releases stock that was held for a quality check back into sellable count, using the same product code / bin / quantity / note form as the rest of this tab.
- Transfer — a button on the Move stock. Moves existing stock from one bin to another — the SKU's total is unchanged. Enter the bin it's moving FROM (the usual Bin field), the bin it's moving INTO, and the quantity. Writes as two linked rows (stock out of the old bin, into the new one) — the same way a bulk-upload TRANSFER row already worked, just as a single-item action here. To move an entire scanned session's contents to a different bin in one go, use the Admin Panel's Scan Sessions page instead.
- Upload many stock changes from a spreadsheet — on the Move stock: download the template, fill it, upload.
There are exactly 8 allowed Action values. Anything else is blocked:
- INBOUND — New stock that reaches the warehouse for the first time. It is a new purchase or a new batch being put away. (adds to stock; needs SKU, Bin, Qty)
- RETURN_IN — A customer sent it back and we got it. (adds to stock; needs SKU, Bin, Qty)
- FOUND — Stock found during a count. It is on the shelf but missing from the system. (adds to stock; needs SKU, Bin, Qty)
- LOST — Stock leaving the system without a sale: missing, shrinkage, theft, damage, expiry or any deliberate write-off. Put the actual reason in the Note column — that is what separates a breakage from a theft in the permanent record. (reduces stock; needs SKU, Bin, Qty, Note)
- REJECTED — Stock that failed a quality check. It is taken out of sellable stock for good. (reduces stock; needs SKU, Bin, Qty, Note)
- QC_HOLD — Hold for quality check: sets stock aside, not sellable until checked. Takes stock out of the sellable count while it waits for a quality decision. The goods are still physically there — they just must not be sold yet. Release them later with QC_RELEASE. (reduces stock; needs SKU, Bin, Qty)
- QC_RELEASE — Release from quality check: puts stock that passed back on sale. It is the opposite of QC_HOLD. (adds to stock; needs SKU, Bin, Qty)
- TRANSFER — Moves stock from one shelf location to another. Total stock does not change — only where it sits. Bin is where it is moving FROM, ToBin is where it is moving TO. (moves stock from one bin to another; needs SKU, Bin, ToBin, Qty)
- Bin-mismatch note — if the bin you use is different from that SKU's usual bin, the result still says OK (this is never blocked) but adds a short note so you can catch a typo, e.g. "OK (note: this SKU's usual bin is A12, this entry used B04)".
- Find stock — live, read-only view of current quantities. Search by SKU, ASIN, or Bin to find where something is right now.
- Actions / STOCK / Bulk Upload all write to the SAME live database as this Excel file and the Admin Panel — there is no separate copy anywhere, and every write is tagged with which tool made it (visible to an admin as "entry_source").
🔧 Troubleshooting
- Camera button not working, or the screen is black — Tap the blue button inside the app (not the Chrome address bar icon). On first use, wait 2–3 s for permission prompt
- QR not scanning — Hold phone 15–25 cm from QR code, good light, keep still; the orange scanning line shows it is active
- Product mismatch — Try scanning the ASIN barcode instead of SKU label (or vice versa)
- Wrong bin scanned — Tap ← Back, go to the correct bin and scan again
- The pick will not finish — Check that every line shows its full count scanned. The slip ends with a green Picked ✓ only when all lines are done.
- QR missing in Excel pick list — Re-run Step3_GenerateBarcodes in Excel
